Attention Residents:

As you were recently made aware, via postal mail, the Board of Directors for all three East Stratford Associations will be holding the 2021 Annual Meeting of each Association on the same night, September 20, 2021, at staggered times.

This year’s Annual meeting will be held in person. In light of the COVID-19 public health emergency, the Association’s Board of Directors is closely monitoring all Executive Orders issued by Virginia’s Governor’s Office and health guidelines that may impact holding this required meeting. While the Board is hopeful that the meeting can and will occur as scheduled, if the Orders and health guidelines at the time do not permit it, the meeting will be rescheduled, and notice will be sent accordingly.

Due to the current COVID-19 public health emergency:

  1. The Board cannot guarantee a virus-free meeting place (even outside), and thus the Board strongly encourages Owners to attend by proxy to reduce the number of persons who are physically present at the meeting location and to reduce the risk of exposure. So, if you wish to participate in the meeting and have your vote cast without the need to attend in person, please complete and timely submit the enclosed Proxy Form.
     
  2. You must not attend the meeting in person if you have:
    1. a fever
    2. any one or more symptoms of COVID-19 (as listed by the US CDC)
    3. have had a known exposure to a person with COVID-19 in the prior 14 days
    4. have tested positive for COVID-19 or are presumed by your healthcare provider to have been infected by COVID-19, but you have not met current CDC guidelines for ending self-isolation

East Stratford Phase A&B Homeowners Association, Inc.

East Stratford A&B residents reside on the following streets – Shirley Square, Cagney Terrace, Shadwell Terrace, Jennings Court, Duvall Court, Burnell & Parkgate Drive. All A&B owner’s are ALSO part of the Residential Association and should submit proxies for both A&B & Residential.

Registration for the 2021 Annual Meeting for the A&B Association will begin promptly at 6 PM. Call To Order for this meeting will be at 6:15 PM Pursuant to the Bylaws of the Association, East Stratford Phase A&B must reach a quorum of 10% (20 homes) in order to conduct this meeting. If you are unable to attend in person, please submit your proxy forms.

A/B Candidate Bios

East Stratford Residential Community Association, Inc.- **All residents at East Stratford are members of the East Stratford Residential Community Association and therefore, should attend this meeting. **

Registration for the 2021 Annual Meeting for the Residential Community Association will begin promptly at 6:35 PM. Call To Order for this meeting will be at 6:45 PM Pursuant to the Bylaws of the Association, East Stratford Residential must reach a quorum of 10% (37 homes) in order to hold this meeting. If you are unable to attend, please submit your proxy forms.

East Stratford Phase C&D Homeowners Association, Inc.

East Stratford C&D residents reside on the following streets – Whipp Drive, Morrissett Ct., Hanrahan Ct., Rusert Dr., Baish Dr., Ebaugh Drive. All C&D owner’s are ALSO part of the Residential Association and should submit proxies for both C&D & Residential.

Registration for the 2021 Annual Meeting for the C&D Association will begin promptly at 7:05 PM. Call To Order for this meeting will be at 7:15 PM. Pursuant to the 2015 amended Bylaws of the Association, East Stratford Phase C&D must reach a quorum of 10% (17 homes) in order to hold this meeting.

C/D Candidate Bios

The Board understands and accepts that not everyone will be able to attend this meeting; therefore, if you cannot attend this meeting, PLEASE review the attached candidate biographies & fill out the attached proxy form (FOR EACH ASSOCIATION YOU BELONG TO) and send back to management as soon as possible, but no later than 5 PM on September 19, 2021. Please note that such proxy shall be deemed revoked only upon actual attendance by the person submitting the proxy.

We appreciate your cooperation in this mutual effort to ensure that quorum is achieved in all East Stratford annual meetings this year.
